If you are trying to structure your new business to efficiently and effectively manage your business and provide quality service or products to your customers then this tips will help you organize it successfully. This tips can also help you organize any activity or project that you will conduct in the future. Organizing is an important function of management and I have organized several activities in the past with some companies successfully.
1. Know the schedule Schedule is an important part of any organizing activity. You need to know when will it start and end so that you are able to estimate if you can do it or not because if the schedule is too tight for you then most probably you will have a hard time doing that and most probably you can bargain the schedule ahead of time. This will also help you accept or don't accept new project if you know the duration or schedule of your incoming project. The employees schedule and outsource service schedule must be known as well in order to be effective and efficient when you implement the activity rather than sacrificing the quality of the project because the people that should be working on it is not available. In scheduling it is the work that matters not the time and you have to consider how long will it take not the time that you allot to it. 2. Availability of resources Resources is an integral part of any activity or project. You have to know the available resources you have in your business as well as the availability of resources with different suppliers just in case you ran out of supplies. The specific materials must be identified so that you will know where to get it and its availability. Every time I accept a project I always put in my mind the resources that I have in order to complete the project so that I will know if I will accept it or not. Resources is an integral part of any activity to complete it. For example the bigger the project the more people I will need depending on how tight the schedule is but if given enough time just the exact number of people i will hire to finish the project. 3. Determine the goal and purpose When I accept a project I see to it that I understand the goal of the customer or client so that we will have the same way of thinking and we will understand each other. Determining and understanding the goal is crucial in making decisions along the way when you are organizing and implementing a project. During implementation you are bombarded with different activities and problems and sometimes it will require you to make fast decision and when you understand the goal and purpose of the project will be able to decide fast and appropriately when needed. 4.Knowing your manpower Before I accept any project I need to know the difficulty of the project because I have to relate it to the manpower that I have if they are able to do it or not. If they have the necessary knowledge, skills, and attitude to work on specific task of the project especially the major tasks. I don't give a task to an employee that is not confident on the task because it will backfire to me later on and the schedule will be sacrifice but sometimes if there are no other available people I am forced to give it to the person but with necessary support and back up plans. For me giving the task to the right person makes me confident and comfortable in organizing the project because I knew It will be done according to what I expect it to be. 5. Analyzing the project payment When you have quality people working with you means that they are expecting a good pay for a certain task because they will be able to deliver it effectively and efficiently. If the project to be organize is difficult and the payment is not appropriate for the level of difficulty then I don't accept it. It is important that the payment is related to the level of difficulty of the activity to be organized. I'm generous to the people I work with because I know how valuable they are to any project. I always see to it that they are satisfied with their work and payment. Organizing is not an easy task to do because it requires thinking in order to effectively and efficiently deliver a project or an activity.
